Executive Administrative Assistant
Reports to: Executive Director of Integrations
Key Partnerships: Executive team, Business Development, Support Center, Integration
Department: Business Development
Salary: $15/hr (based on experience)
Classification: Exempt
Status: Full-Time
About this role: We are looking for an Executive Administrative Assistant who will provide support with clerical tasks, ensuring all related corporate procedures are well-organized and performed in time. A successful candidate should be able to act proactively and without guidance while understanding the company's needs and adhering to its policies
Job Responsibilities:

  • Support executive and partner meetings by preparing agendas, taking notes during the meetings, ensuring meetings are on track and stay on time and sending follow up emails after meetings outlining key takeaways and action items
    • Creates and organizes data dashboards for Executive Director of Integrations
    • Drafts written responses or replies by phone or email when necessary
    • Acts as a liaison with other departments and outside agencies
    • Works independently and within a team on special nonrecurring and ongoing projects.
    • Acts as project coordinator for special projects, which may include: planning and coordinating multiple presentations, disseminating information, organizing conferences and summits
    • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.
    • Proofreads copy for spelling, grammar and layout, making appropriate changes.
    • Responsible for accuracy and clarity of final copy
    • Assists on other duties/tasks, training, and reports as assigned
    • Ensures daily communication with the Executive Director of Integrations in regard to the calendar and other specific needs
    • Prepares reports by collecting and analyzing information
    • Always maintains professionalism in dress, speech, and actions
    • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
    • Protects Company by keeping necessary information confidential
    • Completes projects as assigned using available resources (including clerical staff); following up on results
    • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussion
    • Contributes to team effort by accomplishing related results as needed
    • Coordinate with the Executive Director of Integrations to gather information to respond to inquiries and/or prepare reports as requested
    • Support the Executive Director of Integrations by maintaining an organized environment with a courteous professional demeanor



      Basic Qualifications:
      • Previous administrative experience a plus
      • Profound experience with office management systems and procedures, as well as major office gadgets and applications
      • Outstanding MS Office knowledge and English proficiency
      • Outstand Google Suite knowledge
      • Confidentiality and discretion
      • A High School degree; PA diploma or certification will be a bonus
