Position: Office Coordinator

POSITION SUMMARY:

The Office Coordinator is responsible for the efficient operation of the business and support functions of the agency.

MAIN DUTIES AND RESPONSIBILITIES (Essential Functions of the Position):

  • Codes invoices accurately and submits to the Support Center timely for payment
  • Prepares manual check requests as required
  • Reviews and processes time sheets and accurately prepares transmittal logs within required time frames
  • Reviews time and productivity reports for benefits eligibility. Informs management of potential issues
  • Tracks staff on-the-job injury claims
  • Maintains personnel files
  • Performs workplace safety and hazard surveillance
  • Tracks completion of Safety First and other mandatory training's
  • Participates in new employee orientation
  • Prepares new hire paperwork, verifies documents and submits required paperwork to HR/Payroll at the Support Center
  • Maintains log and inventory of mobile devices for the agency
  • Maintains office equipment and appropriate logs
  • Processes and distributes incoming and outgoing mail
  • Orders medical supplies for stock room
  • Takes quarterly inventory of medical supplies
  • Orders forms and office supplies
  • Transfers phones to and from answering/automated service when appropriate
  • Greets visitors and escorts them to appropriate waiting area if required
  • Maintains staff roster
  • Demonstrates excellent customer service and effective communication skills
  • Maintains the confidentiality of patient and organization information at all times
  • Answers phones, takes and delivers messages by phone, verbally, or in writing
  • Other duties as assigned

QUALIFICATION GUIDELINES

EXPERIENCE/TRAINING/EDUCATION/CERTIFICATION:

  • High school diploma, Associates Degree or higher preferred
  • Minimum one year experience in healthcare office operations, payroll experience preferred

SKILLS/ABILITIES:

  • Knowledge of computer software programs including Microsoft Office Suite.
  • Ability to prioritize multiple tasks
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Excellent phone skills
  • Ability to handle multiple duties and meet assignment deadlines
